Terms of Service

Last updated October 17, 2026

In short

  • BandRoomHQ is for school staff, working for their school. Your school owns its data.
  • Only enter student information your school allows you to, and follow its rules for recording students.
  • BandRoomHQ is free during early access. We will tell you the price before we ever charge, and nothing bills automatically.
  • Export is free, any time. When you leave, we keep your data 60 days for you to export, then delete it.

1. These terms

These terms are an agreement between BandRoomHQ (“we”, “us”) and the school or district whose program uses BandRoomHQ (“the school”), and they apply to every staff member who signs in. By creating an account or accepting an invitation, you agree to them on your own behalf and confirm you are authorized to use BandRoomHQ for your school.

Our Privacy Policy explains how we handle data and is part of these terms. If the school has signed a student data privacy agreement with us, that agreement controls anything about student data, even where these terms say otherwise.

2. Accounts

  • Accounts are for adult school staff, by invitation. Students and families do not get accounts.
  • Each account belongs to one person. Do not share your password or let anyone else sign in as you.
  • Program owners decide who joins the program and what each person can change. Remove people who no longer work with the program.
  • Tell us at support@bandroomhq.com right away if you think someone else has used your account.

3. The school's data

Everything the school’s staff put into BandRoomHQ, including student information, recordings, and photos, belongs to the school. The school gives us permission to store and process it only to provide BandRoomHQ to the school, as the Privacy Policy describes. We do not sell or share it, and we claim no ownership of it.

The program, not any one staff member, holds the school’s data. When a staff member leaves, the data stays with the program.

4. Your responsibilities

  • Enter only student information your school permits you to share with a service like this one.
  • Before recording students, make sure your school allows it and that any permission it requires from families is in place. You are asked to confirm this before your first saved take.
  • Upload only recordings, photos, and logos you have the right to use.
  • Do not upload copyrighted scores or commercial recordings. BandRoomHQ tracks the music you own; it does not host it.
  • Keep the information you enter accurate, and correct it when it changes.

5. Acceptable use

Do not:

  • try to reach data from a program you do not belong to, or test our security without our written permission;
  • disrupt the service, overload it, or get around its limits;
  • copy, scrape, or resell BandRoomHQ or the music lists in it;
  • use BandRoomHQ for anything unlawful, or to harass anyone.

If you find a security problem, please report it to support@bandroomhq.com. We will not take action against anyone who reports one in good faith and does not access more data than needed to show it.

6. Music lists

Graded music lists in BandRoomHQ come from the associations that publish them, either imported by the director or provided by us from the association’s published edition. The association owns its list. Check the association’s own publication before relying on a list for an adjudicated event.

7. Price

BandRoomHQ is free during early access. Before we charge for it, we will tell program owners the price and the terms in writing, and a program pays only if its owner chooses to. Nothing renews or bills automatically without that choice.

8. Leaving, and when we end access

The school can stop using BandRoomHQ at any time. A program owner can export the program’s data, free, at any time, and can delete the program from Staff and access. If the school tells us at support@bandroomhq.com that it is leaving without deleting the program, the data stays available to export for 60 days, then we delete it as the Privacy Policy describes.

We may suspend an account that breaks these terms or puts other programs at risk. Unless it is urgent, we tell the program owner first and give them a chance to fix the problem. If we ever stop offering BandRoomHQ, we will give program owners at least 60 days’ notice so they can export their data.

9. The service

We work to keep BandRoomHQ available and your data safe, and we back it up regularly. We improve the app often, which sometimes means changing or removing features. If a change removes something a program relies on, we tell owners ahead of time.

10. Warranty disclaimer

Apart from the commitments in these terms, the Privacy Policy, and any signed data agreement, BandRoomHQ is provided “as is”, without warranties of any kind, including that it will be uninterrupted or error-free, or fit for a particular purpose. Some places do not allow these disclaimers, so they apply only as far as the law allows.

11. Limitation of liability

As far as the law allows, we are not liable for indirect or consequential losses, such as lost time or lost opportunities, and our total liability for any claim about BandRoomHQ is limited to the amount the school paid us in the twelve months before the claim, or one hundred US dollars if it paid nothing. This limit does not apply to our obligations to protect student data under a signed data agreement, or to anything the law does not allow us to limit.

12. Changes to these terms

We email program owners at least 30 days before a material change takes effect. Continuing to use BandRoomHQ after that means accepting the new terms. If the school does not accept them, it can leave and export its data as described above.

13. Contact

Write to support@bandroomhq.com with any question about these terms.
